OFFICE ASSISTANT - (Full time)

Selection Criteria: Administrative Assistant - DAFVIS
ESSENTIAL CRITERIA
- Relevant experience in working in a busy work environment preferably within a community organization.
- Demonstrated high level of computer skills including data base experience and generating statistical reports.
- Demonstrated ability to respond to calls from domestic and family violence victims in an appropriate supportive calm manner.
- Demonstrated ability to liase, inform and advocate with multiple stakeholders on policy, reporting procedures and human resource issues for colleagues clients and government and community organisations.
- Ability to liase with local court, victims and other services
- General office management skills, including diary management, office supply maintenance, event management, meeting management, creating and management of office systems, client file register and general file management.
- Respond to queries from other organisations.
- Represent DAFVIS and Macarthur Legal Centre on relevant committees and at community events.
- Demonstrated ability to manage and support an admin team.
- Ability to train workers in admin office/systems
DESIRABLE
- Experience in responding to domestic and family violence clients
- Knowledge of the criminal justice response to domestic and family violence
- Current drivers license
Job description: Administrative Assistant - DAFVIS
The Administrative Assistant is accountable to the Coordinator or the Domestic and Family Violence Intervention Service.
Duties
- Receive incoming phone calls and visitors to the office in a courteous and attentive and efficient manner, take messages
- Reception duties including provision of referral information to clients and screening of incoming telephone and in person enquiries, to assist clients as promptly as possible
- Sort, record, stamp and distribute incoming mail; post outgoing mail
- Distribute facsimile documents in a timely manner
- Maintain bulletin boards including interagency service information and training calendars for staff
- Undertake general administrative functions of the office, including general filing, and filing of loose-leaf services, word processing and photocopying
- Open files, close files
- Maintain the DAFVIS information lists including updated staff contact lists, order stationery
- Provide statics to the Attorney Generals Department on a monthly, quarterly and annual basis
- Maintain the client database and the MLC client register
- Attend staff meetings, and adhere to the MLC policies and procedures
- Participate where appropriate and as required in Koori interagency events
- Perform conflict checks upon receiving new referrals
- Supervise Administration staff
- Attend court on a weekly basis to acquire court outcomes for each client file
- Send correspondence to clients that relate to their referral, for example; hearing letters, introduction letters and closed file letters.
- Attend meetings, as required, with the Attorney General's Department
- Maintain client files as required
- Ensure that client forms are always restocked
- Order business cards as required
- Assist the DAFVIS Co-ordinator and staff when required
- Ensure that archiving is maintained on a regular basis
